Administrative jobs will always be in demand. As the organisational backbone of any organisation or business, being an administrator or receptionist is a job suitable for someone who is able to maintain calmness and order, as well as the ability to help to run a business smoothly.

What Does an Administrator Do?

Being the process or activity of smoothly running a business or organisation, administration is the key to any business, no matter how big or small, to be organised and efficient. An administrator is relied upon to complete responsibilities and duties such as managing and distributing information, as well as greeting clients and customers in a friendly and helpful manner. With the involvement of the coordination and implementation of office procedures, administrators are required to have solid literacy and numeracy skills, as well as proficient computer skills and good organisation skills.

Requirements to Become an Administrator

The average office administrator salary is £17,000 per year, however, this is subject to your experience in your field. The requirements to become an administrator are dependent on the job description. Gaining a nationally recognised certification such as a Level 1 Administrator Certificate or a CPD Accredited Office Admin course is the best way to get started and set yourself apart from others. Generally, solid numeracy and literacy skills are highly valued and expected in an administrative position, as well as the ability to work with computers.

Type of Administration Roles

There are many levels and categories of administrative positions with each having different duties, responsibilities, and salaries. It is important to understand the difference between them all to decide what type of administrative course would suit best to the career choice you feel is most appropriate for you.

Receptionist

  • As a receptionist, the most important responsibility is to be the face of the business, as you will be the person who greets and deals with clients and visitors. A variety of administrative roles in this include general office upkeep, answering phone calls and client queries as well as using technology to assist in organisation. Reception jobs are always in demand in a large range of locations, as the majority of organisations and business require the duties of a receptionist, receptionist salaries on average of £16,000 per year depending on the type of organisation.

Office Manager

  • Typically in charge of bookkeeping, logistics, and facility handling, an office manager helps a company or business run smoothly and efficiently. An office manager may also have the position of training or supervising new and existing employees as part of organisational upkeep.

Administrative Assistant

  • This mid-level position is a valuable and sometimes indispensable member of a department in an organisation. Commonly, the individual in this role must have previous administrative experience, as this job includes the coordination of meetings, arrangements, managing schedules and other organisational managerial tasks.

Executive Assistant

  • Executive assistants are commonly employed in larger organisations, as they are essentially a personal assistant for top executives, designed to provide support in a range of duties. Typically the role of this type of assistant to complete personal tasks and handle confidential information, therefore this administrative job usually requires many years of experience.

Team Secretary

  • Similar to the position of an executive assistant, a team secretary has the responsibilities of dealing with the organisation and requests, rather than entire departments or groups of people.

Record Officer

  • This high-level administrative job is specialised work that assists in maintaining, identifying and arranging company/organisation records or legal and risk management purposes. Some companies may also request they be involved in archiving and designing systems. As a high-intensity role in a business, this position requires the individual to be extremely organised and thorough in their work.

Office Assistant

  • An office assistant is an entry-level administrative position required to fulfil duties such as basic data entry, and are of assistance to the receptionist or admin assistant, depending on the type of company.
